Emails èTasks è Work from Outlook Calendar!

Using Ezidoesit to schedule emails as tasks in the Outlook Calendar saves you time and your business money. Working out of your calendar will lower Stress, cut down on Distractions, and Ezidoesit is flexible so that urgent work can still be accomodated in your schedule.
 
Why work from your calendar?

Because Time as a resource is finite and limited.


 

If you do not schedule work tasks into the Outlook calendar, you may miss the deadline for the task or miss doing it altogether.

Ezidoesit makes it easy for you because the tasks are scheduled automatically.

 
Changing Ezidoesit tasks in the Calendar
 
Once a task in scheduled into the calendar it is easy to change any of its details directly from here. Right mouse click on a task (do not double click on it) and select Show Task. You can now change any of the details for this task.
  
You can also drag and drop tasks in the calendar and this will automatically update their start date and time.
 
Working from the calendar allows you to see the "Task Relativity" - the importance and urgency of tasks when you see them next to other tasks.
 
Other options to the Outlook Calendar are below.
 
Ezidoesit Schedule
 
Click on Show Schedule on the Ezidoesit menu. This will display a custom Ezidoesit calendar. The information is identical to what you see in the Outlook calendar. The Enterprise Edition of Ezidoesit will have advanced scheduling features that will be available from this option. At present in this option you can do everything that you can do in the Outlook calendar.
 
 

One difference between the Outlook Calendar and the Schedule View is that any changes made in the Schedule View are not made until you click on the Update button. This allows you to rearrange you work, dragging tasks to different times and days and then when you want to save these changes click on the update button. If you click on Cancel no changes are saved.

How Ezidoesit Scheduling Works

Here is how it works and some of the Ezidoesit Task options available to you. You do not have to select all of these options to schedule a task; they are just the options that are available.
 
You do not have to schedule all Ezidoesit tasks.
How tasks are scheduled is controlled by the rules in Ezidoesit Settings (Settings, New Tasks).
=  Tasks always get scheduled around meetings and appointments in your Outlook Calendar.
=  You can set in the Ezidoesit Settings option the days you work, the start and end times and you can
      block out time
      for lunch, or other times such as blackout times (no tasks will be scheduled during this time).
 Ezidoesit tasks are scheduled according to the task priority - critical, high, medium, low - critical always
      pushes in
      ahead of other priorities and then reschedules other tasks below it.
=  Tasks can be set as Fixed Time which means they will not be moved during the reschedule process.
=  Tasks can be set as Private which means in Ezidoesit Workgroup the detail of the task in hidden and
      secure.
=  Do It Now - this option starts this task now and everything is rescheduled below it. You have the option
      of pushing in 
before fixed tasks and skipping breaks, blackout times etc.
=  Tasks can be scheduled for a set number of hours per day i.e. a 40 hour task could be scheduled for 4
      hours each 
day.
=  You can manually set the task start day and time using the Start After calendar and time control.
=  Tasks can be tagged with the name of a Project which allows reporting on Project Categories.
=  You can select an Outlook Email Category (and colour) to assign to a task.
=  You can move the original email to a specific folder rather than the default.
=  You can save the task with any attachments that were on the original email or remove them.
=  You can change any detail in the task without changing the original email that created the task. It is a
      copy of the 
email.


Ribbon View
 
This will display a single day of tasks in a plain top to bottom list. You can display the times on the left of the tasks (default setting) or on top of the tasks. Right mouse click will bring up the menu which controls this setting as well as allowing you to view tasks for the Rest of the week, today, tomorrow, this week, next week, and this month. Double clicking on a task allows you to edit it.
