Activate Ezidoesit from the Web Site

Starsoft has released an web based option to enable Ezidoesit to be activated manually from a web site rather than from Ezidoesit itself.

This option now allows companies and organizations to activate the Ezidoesit Outlook software offline where security stops Ezidoesit trying to access the Ezidoesit Activation server.

To use this option access the following link from a PC that can access the Internet.

http://www.ezidoesit.com/sales/activation.aspx

This displays the web page below.

Download and run on a PC that can see the internet the Ezidoesit Manual Activation program (highlighted in red above). This does not install this software on your PC.

Follow remaining instructions on this web page.

New Options in Ezidoesit Enterprise Edition for Outlook 2010

Starsoft has released an update for Ezidoesit Enterprise for Outlook 2010. This has the following new options.
1.  If you drag a task in the calendar to a new day or time, Ezidoesit will check to see if it is now past its deadline. If it is then it asks if you want to extend the deadline for that task to be the same amount of time past the task as originally set.

2.  There is a notification option for the Workgroup EziQueue option which shows in the System Tray when new items are added to the EziQueue. To display this notification, select the option on the Display tab in Ezidoesit Settings.

3.  When a user creates a new task and puts it into EziQueue, they can check a "Keep me Informed" box so they can monitor progress on this Ezidoesit task.

4.  The Task List data access process has been changed to allow the display to be refreshed faster where there are a lot of tasks to display.

5.  There is an option to check for updates to Ezidoesit automatically. Check the "Check for Updates" box on the Settings, General tab in the bottom left corner. You can set a number of days to automatically check for Ezidoesit updates. To manually check for updates, select the About Us option and click on the Check for Updates button. A message will display in the top right of the Outlook screen telling you whether there are any updates or not.

6.  Reschedule tasks - currently you can reclaim time where tasks are finished early. There are now some new options in the Enterprise Edition of Ezidoesit that allow you to

New Reschedule Tasks button on the Outlook 2010 Ribbon menu Ezidoesit tab. This allows you to reschedule future tasks for the number of days set in the Settings, New Task option (see image below).

Rescheduling tasks is a quick and simple way of reclaiming future time.
When you right click on a task in the task list you have a reschedule task option. This will reschedule the task to be done after the current time following the standard scheduling rules.

There is a new button on the Task window to reschedule the task. This will set the start after date of the task to be the current time if the current start after date is in the past and then reschedule the task.

Starsoft launches Free Ezidoesit Light

Starsoft Limited today announced the launch of a free version of their Ezidoesit Task and Work Scheduling software for Microsoft Outlook – Ezidoesit Light.

Ezidoesit Light Edition, gives Microsoft Outlook users the option to install the Ezidoesit productivity software at no cost. Starsoft CEO, Dermott Renner said “With the current state of the world’s economy, companies and individuals need to be more productive and more efficient. Everyone has to do more with less. All of our lives are getting more complex and there is the requirement to compress more work into less time. Ezidoesit on Outlook 2010

Next year, probably in the first half of 2010, Microsoft will release Office 2010. Currently the product is at the Beta stage.

We have been doing some testing of Ezidoesit starting July with the Technical Preview of Office 2010 and can confirm that it does indeed work. The only issues we are working on at this stage is working out a final design for how we want our Ezidoesit Ribbon bar to look.

Early in the New Year we will be releasing to testers a version of Ezidoesit for Outlook 2010. If you wish to be included in this Beta testing program please contact Starsoft at support @ starsoft.co.nz.

Starsoft launches Ezidoesit Enterprise R2 Edition

Starsoft Limited (“Starsoft”) today announced the launch of an update to Ezidoesit Enterprise  Edition software in New Zealand.

Ezidoesit Enterprise R2 adds some exciting new features to the existing version of Ezidoesit Enterprise Edition and is available as a free update to all existing users of Enterprise Edition.

EziAnswer allows users to drag and drop emails that they need to answer onto a white colour on the Ezidoesit Elevator Bar. These emails are then moved from the users inbox. The user can set two reminders a day (say late morning and late afternoon) which will send them an email reminder of emails that are waiting to be answered. The user can, at any time, open the EziAnswer window and reply to emails. This option allows an Outlook email user to control when emails are answered and avoid their day being run according to other peoples’ schedule. It also avoids the quick stimulus response to emails which we can regret later.

Starsoft Managing Director Dermott Renner said “According to a joint study done by The University of Illinois and Microsoft, it takes a worker 17 minutes to get back to what they were working on after interrupting their work to answer an email. EziAnswer is the solution to email interruptions and can save businesses serious money by providing Outlook users these tools.”

This update also allows Enterprise users to import Outlook tasks into Ezidoesit and to export Ezidoesit tasks.

A new Advanced Scheduling rule option allows emails from specific email addresses or domain names to have pre-set priorities for scheduling tasks and work. In addition, tasks not finished at the end of the day can be re-scheduled to another time.

We also have a new online Ezidoesit Help portal.

Ezidoesit is now available in English, German, French, Italian, Spanish, Dutch, Swedish, Danish and Polish.

Ezidoesit works with Microsoft Windows 7 Beta and RC

I can confirm that Ezidoesit (all versions) works with Microsoft® Outlook© 2007 running on Windows 7 Beta and RC (Release Candidate).

Since February I have been running Windows 7 (first the Beta and now the RC version), Outlook 2007 and Ezidoesit on 3 different HP notebooks and everything has worked perfectly. These notebooks all previously ran various versions of Microsoft Vista. As with Vista the Windows 7 versions include both 32-bit and 64-bit versions.

I am now running Outlook Service Pack 2 and this has not caused any problems at all.

Starsoft launches Ezidoesit Standard and Enterprise

Starsoft Limited (“Starsoft”) today announced the launch of Ezidoesit Standard Edition and Ezidoesit Enterprise Edition.

Ezidoesit Standard Edition is a low cost cut down version of Ezidoesit Professional Edition. This starter version of Ezidoesit gives Microsoft® Outlook© users the ability to save at least 60 minutes a day with faster and easier ways to organize their work.

Ezidoesit Enterprise Edition is the complete Task and Work Scheduling software for Microsoft Outlook. It adds a number of new features above those that are in Ezidoesit Professional. These include a complete client based Email Archiving option, the ability to synchronous Ezidoesit data online/offline and a new EziQueue feature that allows unallocated tasks to be stored and retrieved by users using the Workgroup add-on for Enterprise.

Mr Renner said “Today we launched two new Ezidoesit products - Standard and Enterprise Editions. More than at any other time in history businesses today need to get more work done with fewer resources – less people and less time. Email is a necessary and important tool in business today but it can become both a distraction and cause stress because too many options are presented to the Outlook user to work on. It is stressful trying to juggle competing demands, fitting everything in and doing the important things first. Ezidoesit, through a simple and smart user interface, allows the user to create tasks and schedule these into their Outlook Calendar".

5th May 2009

Starsoft launches Ezidoesit Workgroup Edition

Starsoft Limited (“Starsoft”) today announced the launch of its new Ezidoesit Workgroup Edition software in New Zealand.

Ezidoesit Workgroup is a multi-user version of Ezidoesit Professional released in February and can save your workgroup or team time and stress and provides enhanced work scheduling and resource planning. This add-on turns Ezidoesit Professional into a multi-user version that links everyone together and enables everyone on your team to move in the same direction. Users across multiple teams can work on the same project and a user can be a member of multiple teams. Workgroup projects are independent of teams and have a project leader. Workgroup includes Team and Project reporting, Data Security to control access to task and project information, and Advanced Project features.

Starsoft Managing Director Dermott Renner said “Ezidoesit Workgroup is a fantastic add-on to the Professional version of Ezidoesit and uses the same visual method of reporting on team member work. All the reports that are in Professional such as Time Usage and the Performance Gauge can report on team and project data plus we have added new reports such as the Task List and Task Management Ability report which should task slippage information. None of the advanced reporting introduced in the Workgroup Edition requires any additional data entry over what has always been captured in Ezidoesit Professional through our drag and drop interface.”

Used retrospectively as well as prospectively you can quickly assess who might be overloaded and who might be underutilized. However, before making any changes to task allocation check out the Task Management Ability Report to see how successful your team members are in meeting time goals. Some “underutilised” team members may be more efficient in their work.

Mr Renner said “Since February when we launched Ezidoesit Professional we have consistently added new features to the product each month and added support for seven foreign languages. Now with Workgroup Edition launched, we have a world beating collaborative task and work scheduling product available for Microsoft® Outlook™ users. In business today even more so than we launched Ezidoesit in February there is a need for people to achieve more with less people and time. We believe this software will save most users 60 minutes a day through better and quicker scheduling and prioritizing work. Some of our users say it saves them over two hours a day.”

Ezidoesit Professional is now available in English, German, French, Italian, Spanish, Dutch, Swedish and Polish.

Ezidoesit Update October

Ezidoesit version 1.1.52 was released on Monday 20th October 2008.

New features and changes are listed below

This version has the following changes from the 1.1.43 version which was released on September 1st. Details of earlier changes are available on the www.ezidoesit.com website under Support, Update Archive.

New Language Support
Ezidoesit Professional now supports in version 1.1.52 Dutch and Polish in addition to supporting English, German, French, Italian and Spanish.

Danish and Swedish will be added in early November.

Changes from version 1.1.43

1. Fixed - when you opened an attachment from a task and then closed the task window before closing the attachment the task window would not close and outlook needed to be closed to close the task window.

2. Fixed - if you opened a task and set its % complete to 100% in the task window it didn’t check to see if there was any time after the current time that should be removed from the task. This has now been corrected so the task length is reduced like it is when signed off as complete in the task list

3. Fixed - when reducing the task length from the task window and the scheduled time that has passed for the task was greater than the new task length the rescheduling process would remove all scheduled times for the task. This has been fixed it will now remove only the excess scheduled time.

4. Fixes issue with display of & character on ribbon schedule and EziView.

5. Fixed - when setting the task to 100% completion and none of the scheduled time has elapse for that task yet (i.e. reducing the task time would reduce it to 0) it will instead change the task to not scheduled and leave the task length as it was.

6. Fixed - if a user shifts a task in the calendar or schedule view and the new start time is before the task start after date then the task start after date will be changed to the new start time.

7. Change - performance has been increased for the task list where lots of tasks need to be displayed.

8. Change – the Task Deadline is now displayed in the task list.

9. Change - a status bar is displayed along the bottom of the Task List which lists the fields that the Task list is currently being ordered by as the column headers don’t always show the order status when there is not enough room. As you click on each heading to sort by, it is displayed on this status bar.

Ezidoesit Update September

Ezidoesit version 1.1.43 was released on Monday 1st September 2008.

New features and changes are listed below

This version has the following changes from the 1.1.42 version which was released on August 4th. Details of earlier changes are available on the www.ezidoesit.com website under Company, News.

The changes this month are small due to development time spent on the upcoming Ezidoesit Workgroup Edition which should be available in the middle of September.

We have fixed an issue with the Outlook 2007 ribbon view where the user is using two screens if the right hand screen is set as the main screen and the ribbon view is displayed on the left screen then the tasks are not displayed on the ribbon view. Status now fixed.

We have changed Ezidoesit to handle errors in the Elevator Bar to stop crashes of Outlook 2007 when Ezidoesit cannot connect to the data and the EziView is displayed.

A Buy Now link is displayed on the About Ezidoesit menu option. Clicking on this link will take you directly to the Buy No option on the Ezidoesit website. This link disappears once the user has activated the software.

Microsoft SQL Server 2008

Version 1.1.42

This version has the following changes from the 1.1.34 version.

New Features
This version has the following changes from the 1.1.34 version which was released in June. This update is available to all current users of Ezidoesit. All options are available in the Microsoft Outlook 2007 version of Ezidoesit however some options are not available in Microsoft Outlook 2003. These differences are marked below.

New Features
The Italian language is now supported in Ezidoesit. This can be set under Ezidoesit Settings, General tab and then select it from the language drop down. Close and restart Outlook for the changes to take effect.

EziView
This option adds an Outlook Task Pane option to Ezidoesit. Note: Outlook 2007 only

The EziView display can be turned on or off either on the Ezidoesit menu or by clicked the EziView lightbulb icon. EziView is dynamic so as you schedule tasks the mini performance gauge pie chart will change to reflect these changes and the ribbon view will display the items. If you double click on a ribbon view item it will open the Ezidoesit task. The 3 icons at the top of the EziView panel control whether the Elevator Bar, the Performance Gauge and the Ribbon View are displayed. The EziView panel can also be undocked and displayed anywhere on the screen.

Convert meeting to Task
By right mouse clicking on a meeting in the Outlook Calendar you have the option to create an Ezidoesit task from it.

Select Ezidoesit and then either Critical, High, Medium or Low to create a task with the selected priority.

This option allows the user to either prepare before or follow up after a meeting with a minimum of effort.

Outlook Categories
Ezidoesit does not alter the original email that is used to create the Ezidoesit task. We have now added an option so that from within the Ezidoesit task you can select a colour and category to tag the original email. Note: Outlook 2007 only

Moving Original Emails to another folder
You now have the option of overriding the default folder defined in the Ezidoesit settings option so the original email can be moved to a different folder.

Microsoft SQL Server 2008
As soon as this new version of SQL Server is released, Ezidoesit will have an option to use this new version. Upgrades facilities will be offered to existing users to convert their data.

Multi-user capabilities in Ezidoesit
Ezidoesit Professional can run multiple copies accessing one Microsoft SQL Server database on a server (this is how we run it at Starsoft and have done for the last 7 months). If you need to setup Ezidoesit like this please email support@starsoft.co.nz for further details.

Ezidoesit June Update

Version 1.1.34
This version has the following changes from the 1.1.27 version.

Works with Windows Vista logo
Ezidoesit now carries the Microsoft Works with Windows logo.

New Features
The current version of Ezidoesit is now called Ezidoesit Professional. There are two new editions of Ezidoesit in development which will be released by the end of July called Ezidoesit Workgroup and Ezidoesit Enterprise. Further details are below.

Flag task as fixed on add of a task
This means the task cannot be moved in the Outlook Calendar by other scheduled tasks trying to push in ahead of a fixed task.

Flag a task as private
In Ezidoesit Professional all this does is flag the task as private; in the Workgroup and Enterprise editions that are coming soon; private tasks do not appear on any reports.

Print, Print Preview and Email from an Ezidoesit task
These options are available on the Task screen when it is opened.

Project filter on Performance Gauge
This allows you to run the Performance Gauge for a specific project. The only time displayed in the pie chart is critical, high, medium and low time for this project; all free time and breaks, blocked out time is ignored.

Maximum time per day option
Schedule a task for X hours a day over multiple days. This allows the task to be scheduled up to a specific number of hours a day and it will be automatically split across multiple days. i.e. 30 hour task and you want to work on it 2 hours a day.

About Ezidoesit – Support Tab
This screen now has two tabs on it. The Support tab allows the user to email a copy of the Ezidoesit log file to Starsoft where you have problems or issues. No personal information is sent to Starsoft and log files are destroyed after the issues are resolved.

Changes
We have made a change to the way Ezidoesit re-schedules tasks into the future which speeds up the process significantly.

We have changed to using the Microsoft Windows installer so there are some small visual differences in the installation screens.

Icons
We have changed four of the icons to try and make them standout better.

Fixed issue with the scroll speed of the schedule view when more than a few weeks were shown (it was slow).

Audit Trail changes
When you open a Ezidoesit task, there is a History tab available which shows the contents of the task, and any changes to the task appear as Update Task. This data was a little cryptic so we have now changed the language to be more user friendly.

The update will be available on the Support, Upgrades menu.

The current released version of Ezidoesit is 1.1.19 and this is available as a separate download for Microsoft Outlook 2007 and 2003. This version supports both English and German.

If you have already installed Ezidoesit the April 14th version will install in around 30 seconds. You have to close Outlook to install it. No restart of your computer is required.

This new versions has the following changes and enhancements.

About Us
This option has been moved from Settings to the bottom of the Ezidoesit drop-down menu.

New Task message
This has been removed from Ezidoesit

Typographical Issues
Some small changes of wording made in Settings

Menu Icons
In Settings you can now set options to display on the Ezidoesit menu bar icons for –New Task, Task List, Ribbon View, Time Usage, Performance Gauge and Settings.

New Elevator option
An enhanced Elevator Bar can be set in Settings. This Elevator Bar can be resized vertically and horizontally which enables it to be positioned on the Outlook menu.

Task List Project Filter
There is a Project drop-down filter in the Task List option which enables you to view all tasks associated with the selected project.

24 hour time
There is a checkbox option in Settings which changes the time displayed to use the 24 hour clock i.e. 3pm becomes 15:00

Scheduled Tasks
In Settings you can now set a reminder for scheduled tasks. You can set the number of minutes or hours before either the Start or the Deadline that the reminder is displayed. This can be enabled or disabled in each task to over ride these settings.

This option which can be turned on in Settings, displays tasks in red that are not marked as complete if they should be finished.

Tasks that have 20% of their time left are displayed in yellow.

These coloured highlights are displayed if the Status drop-down is set to Past Completion.

Do It Now
There is a new button in the Task window called Do It Now. Clicking on this button will insert this task into the Outlook Calendar at the current time moving any existing tasks (including Fixed Tasks if you click on the Move Fixed Tasks checkbox). It can also skip Ezidoesit entered breaks such as Lunch, Golf, Blackout times.

Do It Now changes the status to Critical.

If you click on the Do It Now button a second time then this will disable the Do It Now scheduling and hide the two check boxes. You must do this before you click on Save though.

The scheduling process will not shift any tasks to be scheduled onto the next day, it will calculate how much time is available during the rest of the day and will extend the end of the work day as needed to fit all existing scheduled items + this new task in for today. If you need to make other changes to your schedule beyond this, remember you can drag tasks around your Outlook Calendar and your Ezidoesit tasks are updated with the new times automatically.

Website changes
Within the next two weeks there will be a German language version of the Ezidoesit website. Other languages will follow starting with French and Spanish.

In the next week there will be links to video clips showing how to use some of the features and options in Ezidoesit.

There are some new documents on the Help Ezidoesit Documentation web page.

Next Version
The next version of Ezidoesit to be released is scheduled at this time to be on Monday 5th May.

We always like hearing from Ezidoesit users regarding what they would like to see added to the software. Send us an email to support@starsoft.co.nz

Dealing with interruptions to my Schedule

What is the best way to deal with interruptions to your daily schedule?
If you schedule your whole day then phone calls and other spontaneous interruptions will cause problems with your schedule.

A simple solutions is to enter "Blackout times". If you work 8 hours a day and have 30 minutes for lunch you may want to block out another 1 hour for these spontaneous and unavoidable interruptions. Here is how you do it.
Use the Settings option to schedule  one or more “floating” breaks in your day. EziDoesIt will schedule tasks around these breaks and keep the break time free.  These break times will give you some extra time in which to catch up with your schedule.

So today Pete Hodgson who is the New Zealand government minister for Research and Development came to the stand. He visited all of the companies on the New Zealand stand including Starsoft.

CeBIT Day 2

Woke up this morning (Wednesday) and there was all of this white powder outside. It had snowed lightly sometime in the night.

Starsoft had another great day demonstrating Ezidoesit to nearly 100 people today.

CeBIT Day 1

Tuesday, first day of CeBIT and we are ready to rock and roll. We were almost late for the start, arriving at the hall about 1 minute to 9 due to a tram/taxi strike earlier in the morning. This meant there were no taxi's so we had to take the tram into town change and then catch it to the north end of the showgrounds and walk to the south end.

It was a slow start but about 10am things started to get busy and by the end of the day we had demonstrated Ezidoesit to over 90 people.

CeBIT Setup

Starsoft are exhibiting at CeBIT 2008 in Hannover, Germany. We are on the New Zealand Trade and Enterprise in Hall 14.

At 5pm we went to the CeBIT trade showgrounds and started to setup our part of the New Zealand stand.

There is a real sense of excitement amongst the New Zealand exhibitors; everyone has come a long way and historically New Zealand companies have done very well at CeBIT.

The CeBIT showgrounds are huge, bigger than Texas. 27 halls and 1 million square metres of display space.

Everything seemed to work so we are ready to go tomorrow morning which is the first day of the show.

We have all of our marketing collateral - brochures, attendance cards, rugby balls, hats and prize give aways so it should be fun (and long days and hard work).

Changing Ezidoesit's Language

How can I change Ezidoesit to a new language?

Click on the settings option on the EziDoesIt menu.

On the General tab select the language you want from the dropdown and then click on Save.
You must then close Microsoft® Outlook® and start it again for the language settings to be applied to Outlook and EziDoesIt.
Ezidoesit as at October 15th 2008 supports English, German, French, Italian, Spanish, Dutch and Polish. The next two languages to be supported will be Danish and Swedish.

Duplicate Tasks

EziDoesIt message is saying: This item has already been added as a task

I am dragging an email onto the Elevator bar and get this message: This item has already been added as a task.  However, I cannot see it in my task list.

EziDoesIt does not allow duplicates –which is why it is telling you that it already has the task/email.

This is most likely to happen because the settings option for that priority level has been set to: LEAVE the email in the inbox. Alternate options are to delete the email or to move it to another folder.

If your choice is to leave the email in the inbox, then you may find that you are trying to drag an email into EziDoesIt which you had already dragged in.

To confirm that, open a task list and set the status dropdown filter to Completed.  You will then be able to see the existing task.

Starsoft Celebrate Ezidoesit Launch

Starsoft staff today celebrated the launch yesterday afternoon of their new Ezidoesit Task and Work Scheduling software for Microsoft Outlook.

This is a fantastic product and various versions have been well tested inhouse over the last 4 months. Many thanks to Gav (Senior Developer) for a great development job.

For those interested in the technical details, Ezidoesit was developed using Microsoft Visual Studio 2008, runs on the Microsoft .NET Framework 3.5 and the data is stored in a Microsoft SQL Server 2005 Express Edition database.

Task history information can be expanded by clicking on the expand/minimize icon next to the activity.

Performance Gauge

On the Ezidoesit dropdown menu there is an option called Performance Gauge. This option displays a pie chart for the time period specified and shows the following –

Percentage of your time that has been scheduled to work on Critical, High, Medium or Low tasks

Time that is Free –available for working on tasks

Other time (blocked out time in your Outlook Calendar for meetings etc)

Time set in Ezidoesit for regular breaks such as lunch

If you click on one of the pie chart pieces it moves out from the circle and displays the following information on its priority description –

Total of hours spent on priority

No of time slots that makes up the total hours

No of Ezidoesit tasks that makes up the total hours

You can also select a Project name from the project dropdown to see performance for a specific project item.

The pie chart displayed below shows how this option works in the Performance Gauge.

Press Release

Starsoft launches Ezidoesit software for Microsoft Outlook

Starsoft Limited (“Starsoft”) today announced the launch of its new Ezidoesit software in New Zealand.

Starsoft Managing Director Dermott Renner said “Ezidoesit is software that adds task and work scheduling features to Microsoft Outlook 2007 and 2003, the number one business email client in the market. This software is very easy to use, it is very visual, and  employs drag and drop to turn an email into a task and schedule it into your Outlook Calendar in 15 seconds or less. Ezidoesit tasks are scheduled around existing appointments in your calendar. If you change tasks in the calendar then these changes are automatically reflected in the Ezidoesit task itself.  With the Performance Gauge, users can monitor how effective they are at using their time and what type of work they are working on –critical or high priority work or low priority.”

Ezidoesit tasks are stored in a Microsoft SQL Server 2005 Express Edition database on the user’s desktop or notebook computer. In the Team Edition data will be stored in a central SQL Server database. Because Ezidoesit works on received email or manually entered tasks, someone sitting on an aircraft could schedule their work without access to the Internet.

Mr Renner said “In the software industry we are not always good at creating simple, easy to use software.  Email and scheduling work is a stress point for many people in business today. Ezidoesit significantly answers this problem and this helps users become more productive. Starsoft is working on a Team Edition of Ezidoesit which will provide enhanced functionality for workgroups of Microsoft Outlook users.”

“Why hasn’t someone thought of this before?”  quote from Regus manager, London, UK when hearing about Ezidoesit.

The target market for Ezidoesit is businesses of all sizes, and anyone else that uses Microsoft Outlook for their email. The market for this software is the hundreds of millions of Microsoft Outlook users.

Ezidoesit is launched in New Zealand today and the global launch of the software will be at CeBIT 2008 4-8 March 2008, Hannover, Germany. Starsoft have a booth on the New Zealand Trade and Enterprise stand (Hall 14, stand G38).

Foreign language versions in German, French, Italian and Spanish are under development with the German version due to be released at CeBIT 2008 in March.

Further information on Ezidoesit can be found at www.ezidoesit.com.
